Event and Catering Policies

ORDERING POLICY


Dow’s Lake Court Conference Centre requires all catering food orders to be submitted 7 days prior to the event (5 working days)

Dow’s Lake Court Conference Centre understands that last-minute orders and changes may occur, and as always, we will do our absolute best to accommodate your catering and event needs.

Please place your orders or change orders no later than 3:00 p.m. 7 days (5 working days) prior to the event.

Our office hours are 8:00am-3:00pm Monday through Friday, therefore, orders placed after 3:00 pm will be considered as received the next day. Your order is not confirmed until you receive the confirmation email for your event.

There is a $100 minimum catering charge. This minimum does not apply to Beverage Only service.

Catering food orders are delivered between 7:00 am and 3:00 pm Monday through Friday. Any orders outside of these hours require the client to contact Catering@cmpa.org

CANCELLATIONS

100% of the catering food order charges will apply for cancellations received less than 7 days (5 working days) notice.

PRICES

Prices on our menus and website may be subject to change due to market price fluctuation and product availability. Substitutions, changes and additions on any menu items will be reflected with price changes on the final invoice. We recommend clients request a new price quote if there are any changes, additions or substitutions.

TAXES, SURCHARGES

13% HST will be applied to all orders.

An 18% surcharge applies to all Dow’s Lake Court Conference Centre clients.

For special request events that require additional serving staff, a rate of $35/hr/staff member with a minimum of 4 hours will apply. An estimate of these charges will be provided once the order is received. A service charge will be added to the catering order for evening or weekend functions.

You must email Catering@cmpa.org to order for evening or weekend events as the ordering application will only allow you to order for weekday/daytime events.

PAYMENT

All cater event orders will be invoiced at the conclusion of your event. A copy of the invoice will be sent to you. Payment may be made by cheque or EFT. Payment terms are net 30 days.

REFUND POLICY

We do our best to make sure that every order is double checked for accuracy and quality. In the event of an unexpected error, refunds will be handled on a case-by-case basis.

FOOD LEFTOVER POLICY

It is our policy that any leftover food will be discarded after the event. We will leave leftovers that are safe to consume (leftover cookies/brownies and canned beverages), if the client requested beforehand. We do not recommend serving leftovers after the event as we cannot anticipate how long leftover food has been held at unsafe temperatures, nor are we qualified to evaluate the condition of the leftover food. The client will assume full responsibility for any liability as a result from consuming leftover food after the event.

SECURITY

Our online ordering servers are hosted by CaterTrax, which has security measures in place to protect the loss, misuse or alteration of the information under our control. We use encryption technology to protect your sensitive personal information stored on our servers and while being transmitted over the Internet. Your information is always stored in this fashion and is never transferred without encryption.
